Property ownership management

Condominium management

Management according to the regulations of Section 27 of the Condominium Act, which includes tasks such as:

  • takeover of the documentation,
  • registration of the master data,
  • revision of the existing contracts with public utility and other service providers and - after consultation with the owners' association - incorporation into existing framework agreements,
  • notification of the property owners and the public utility companies of the management change,
  • posting of the current accounting transactions (incoming maintenance fee payments, withdrawals by service and public utility providers, payments to service and public utility providers),
  • handling of payment transactions (collection of maintenance fee payments by means of direct debit, invoice verification and payments for invoices),
  • annual preparation of a maintenance fee statement and presentation until 15 May, at the latest,
  • annual preparation of a business plan,
  • preparation, realization and follow-up of the annual condominium owner's meeting and the advisory board meeting, if necessary,
  • management of the collection of decisions according to the condominium act,
  • dunning procedures (monthly dunning run; commissioning of an attorney and initiation of compulsory execution measures after coordination with the owner's community or according to the partition declaration),
  • periodic inspections of the object,
  • handling of notices of defects (receipt, assessment, awarding of contracts with limitation of the order value),
  • assignment and monitoring of the permanent maintenance,
  • issuing of certifications according to Section 35 a of the Income Tax Act for presentation to the tax authorities.
Additionally, upon request:

  • transfer of the bank accounts in order to save account management fees,
  • planning and realization of extensive construction measures in coordination with the property owner (against separate compensation, depending on the extent),
  • management of individual ownership in case of rented units.
Management of individual ownership

  • takeover of the documentation,
  • registration of the master data,
  • notification of the tenants of the management change,
  • posting of the current accounting transactions (incoming rent payments, direct debiting, payments to service and public utility providers),
  • handling of payment transactions (collection of rent payments by means of direct debit, invoice verification and payments for invoices),
  • annual settlement of accounts for operating, heating and water costs according to the statutory requirements and taking applicable legal practice into account,
  • adjustment of the advance payments for operating, heating and water costs,
  • preparation and dispatch of the annual statement (cash basis accounting) until 15 February of the subsequent year,
  • dunning procedures (monthly dunning run; termination without notice due to default of payment and commissioning of an attorney - only in coordination with the property owner),
  • management of the current tenancies (settlements, dunning procedures, verification of the amount of rent, implementation of increases in rent, processing of defect notices etc.),
  • handling of terminated tenancies (take-over procedure, demand note for carrying out aesthetic repairs, release of the rent deposit, deductions from the rent deposit, if necessary),
  • signing up new tenants (advertisements in the relevant press and on the internet, commissioning of a real estate agent - after consultation with the property owner, verification of the earning capacity, conclusion of the tenancy agreement, establishment of a rent deposit account, monitoring of incoming payments / pledging of the rent deposit),
  • handling of notices of defects (receipt, assessment, awarding of contracts with limitation of the order value).
